SCHEDULE: Variable - up to 35 hrs per week, Non-Exempt (Hourly), Mon-Fri 9 am-5 pm, Onsite

COMPENSATION: $24.00 per hour

TEMP PERIOD: 12/1/25 to 3/2/26

POSITION OVERVIEW:

Under the supervision of the Assistant Director of Graduate Admissions, the Graduate Administrative Assistant will assist with the receipt of applications, digital submissions, mail for the Graduate programs of the college, and provide general clerical office support.

DUTIES AND RESPONSIBILITIES:

  • Create and maintain a high volume of digital applicant files.
  • Data entry of Graduate applications and supporting documents into Salesforce CRM software.
  • Open, sort, process, and file Graduate applicant mail and materials into physical or digital storage.
  • Assist in the daily operations of the Admissions Office, providing general office support to the Graduate Admissions sector. This includes filing, scanning, photocopying, mailing projects, and data entry.
  • Other job-related duties, as assigned.

MINIMUM QUALIFICATIONS:

  • Previous experience in an administrative or customer service role

PREFERRED QUALIFICATION:

  • Bachelor’s degree required
  • Proficiency in MS Suite (Word, Excel, PowerPoint) and Google Suite

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Prior data entry experience and confidence in learning new software applications
  • Knowledge of best practices and procedures of a Graduate Administrative Assistant.
  • Knowledge of the overall goals of higher education in an admissions setting, including the understanding of degree requirements, academic calendars, and program prerequisites.
  • Knowledge of best practices in student engagement, advising, and retention.
  • Knowledge of the Family Educational Rights and Privacy Act (FERPA) to properly handle sensitive information.
  • Skill in using computers and in learning new software applications and programs.
  • Skill in data entry.
  • Skill in problem-solving and attention to detail.
  • Skill in planning and organizing.
  • Skill in verbal, written, and interpersonal communications to effectively interact with students, parents, faculty, staff, and other stakeholders.
  • Skill in proofreading work
  • Ability to multitask, prioritize, meet set deadlines, and follow directions.
  • Ability to be detail-oriented and organized.
  • Ability to work collaboratively as a member of a team.
  • Ability to correspond professionally with applicants, faculty, and internal departments.
  • Ability to accurately input, track, and report admissions data for analysis or accreditation.
  • Ability to handle sensitive applicant data with discretion.
  • Ability to communicate and maintain relationships with a diverse student population and ability to foster an inclusive environment.
  • Ability to establish and maintain good working relationships with staff and faculty

PHYSICAL REQUIREMENTS OR WORKING CONDITIONS:

  • Variable - up to 35 hrs per week
  • Monday- Friday, 9 am-5 pm EST.
  • Location: 342 E. 24th Street, NYC, NY
  • On-site schedule - no remote work
  • Ability to move between offices, meeting rooms, and event spaces within the campus or building.
  • Occasionally required to lift or carry materials up to 25 pounds (such as boxes of brochures or event supplies).
